Frequently Asked Questions (FAQs)
At least 10 day prior to the event applicants must provide the McHenry County Fair Association with a certificate of insurance. The insurance certificate needs to include 1) the amount insured for, and 2) insurance coverage dates for the entire event timeframe. The certificate must name the MCHENRY COUNTY FAIR ASSOCIATION as an “additional insured”.
Photocopies are not accepted.

A date is not considered confirmed until a signed contract and the required deposit are returned to the McHenry County Fair Office. If another tenant requests the same date(s), the tenant must execute a contractual agreement and submit the required deposit within 48 hours of notification or as specified. Failure to meet this deadline will result in the release of the date(s).
No, no announcements about the event are permitted until the contract is signed and returned with the appropriate deposit to the McHenry County Fair office.
Rental rates are subject to change at the discretion of McHenry County Fair Association. Rates refer to the building rental only and do not include labor or equipment. For precise rates, contact our team for a rental quote.
Cancellation up to 45 days before the event results in a refund of the deposit. Cancellation less than 45 days before the event will not receive a refund. Written cancellation must be signed by the same person who signed the initial contract.
Decorations must meet safety standards and laws, and approval from McHenry County Fair Association is required. Affixing anything to walls, floors, or ceilings requires prior approval. No glitter or confetti is allowed. A $100.00 per hour cleaning fee will be applied if extensive cleaning is needed after the event.
McHenry County Fair Association assigns designated event parking and delivery/drop-off zones.
The Fairgrounds Office will receive packages up to three (3) business days before the set-up day. No C.O.D.s will be accepted, and packages without proper contact and organization names will not be accepted.
The event promoter is responsible for payment of taxes or additional fees imposed by any unit of government. Failure to pay when due will be considered a breach of contract.
Requests for bringing or sub-contracting equipment must be submitted to McHenry County Fair Association at least thirty (30) days prior to the event. Requests should include dimensions, weight, power needs, and a setup diagram. Approval is required, and the promoter is responsible for all equipment-related logistics. McHenry County Fair staff will not handle or be responsible for equipment provided by outside contractors.
